This file stores inspection records; it does not certify equipment safety or authorize operation. The downloadable workbook has no formulas or automatic alerts, so statuses and dashboard totals must be updated manually.

How to organize the records

From equipment registration to inspection review

Prepare the equipment registry before entering inspection results. Keep the original findings and corrective-action notes available when reviewing the summary.

Step 1

Register equipment

Assign a unique equipment ID to each machine or tool. Record its work area, inspection interval, responsible inspector, and current status.

Step 2

Record inspection results

Enter the date, time, equipment ID, and inspector for each check. Record the relevant results for tension or hydraulics, brakes or emergency stops, lubrication or guards, blades or switches, and PPE.

Step 3

Record corrective actions

Describe the finding and the corrective action in the same inspection record. Enter the completion date after the action has been completed under your site's procedures.

Step 4

Review the equipment summary

Compare each machine's latest recorded status with its inspection history. Update inspection counts and flagged results manually in the dashboard.
